Almoza Technologies ("we", "us", or "our") operates the Almoza platform (the "Service"), accessible at https://almoza.in. This Privacy Policy outlines how we collect, use, store, and disclose information when you use our Service, including when you connect your Instagram or WhatsApp Business accounts to our platform.

We use your personal data to provide and continuously improve the Service. By accessing or using the Service, you acknowledge and consent to the practices described in this Privacy Policy. If you do not agree with any part of this Privacy Policy, please discontinue use of the Service immediately.

This policy applies to all users of the Almoza platform, including business owners, marketing professionals, social media managers, and any individuals who access the Service on behalf of an organization. We are committed to being transparent about the data we collect, why we collect it, and how it is handled throughout its lifecycle.

1. Interpretation and Definitions

Interpretation

Words with capitalized initial letters carry specific meanings as defined below. These definitions apply equally in both singular and plural forms.

Definitions

For the purposes of this Privacy Policy:

  • Account — A unique account created for you to access the Service or its specific features.
  • Automation Workflow — A configured sequence of actions set up by you within the Almoza platform that triggers automated responses to incoming messages or comments on your connected Meta accounts.
  • Company — Refers to Almoza Technologies, located at 1st Floor, Flat No. 101/B, Kiran Classic Tower, Kiran Cross Road, Katargam, Surat – 395004, Gujarat, India.
  • Cookies — Small files placed on your device by a website to store browsing activity and preferences.
  • Device — Any device capable of accessing the Service, such as a computer, smartphone, or tablet.
  • End User — Any individual who interacts with your connected Instagram or WhatsApp Business account (e.g., by sending a message or commenting on a post), whose interaction may trigger an Automation Workflow configured by you.
  • Meta Platform — The suite of platforms operated by Meta Platforms, Inc., including Facebook, Instagram, and WhatsApp, through which Almoza integrates via official APIs.
  • Personal Data — Any information that relates to an identified or identifiable individual.
  • Service — Refers to the Website and the automation workflows connected to Instagram and WhatsApp via Meta APIs.
  • Service Provider — Any third-party entity that processes data on our behalf to support the delivery of the Service.
  • Trigger — An incoming action (such as a comment, keyword, or direct message) that initiates an Automation Workflow configured within the Almoza platform.
  • Usage Data — Data collected automatically through your interaction with the Service.
  • Website — Refers to Almoza, accessible at https://almoza.in.
  • You — The individual or legal entity accessing or using the Service.

2. Data We Collect

Personal Data

While using our Service, we may request certain personally identifiable information to contact or identify you. This includes:

  • Email address
  • First name and last name
  • Phone number
  • Business name or entity details (where applicable)
  • Billing and payment information (processed securely via third-party payment providers; we do not store full card details)

Usage Data

Usage Data is gathered automatically when you interact with the Service. It may include your device's IP address, browser type and version, the pages you visit, the time and date of your visit, duration spent on each page, and unique device identifiers.

When you access the Service through a mobile device, we may also collect information such as device type, mobile operating system, mobile browser type, and unique device identifiers.

We may also collect information about how you navigate within the platform — such as which features you use most frequently, the types of automations you configure, and how you interact with the dashboard — to help us improve user experience and product performance.

Data from Meta (Instagram & WhatsApp) Integrations

To operate automated messaging workflows, Almoza allows you to connect your business accounts through Meta's platform. When you authorize access via Facebook Login, we may collect and process the following:

  • Instagram Business Account Information — Profile details, account ID, and permission scopes required to manage comments and direct messages on your behalf.
  • WhatsApp Business Account Information — Connected phone numbers, approved message templates, and delivery status information.
  • Interaction Metadata — Comment IDs, usernames or handles of individuals who interact with your account (e.g., commenters or message senders), message IDs, and the content of incoming messages or comments that trigger your configured automation.
  • Page and Post Metadata — Information about the Instagram posts or WhatsApp conversations where automation is active, including post IDs and comment threads relevant to trigger evaluation.

Important: Almoza only processes messages or comments that are initiated by the end user. We do not retain the content of private conversations beyond what is strictly required to evaluate automation triggers and deliver the configured response. Message content used for trigger evaluation is not stored permanently and is discarded after the automation response is delivered.

Data You Provide Directly

In addition to data collected automatically, we also collect information you submit voluntarily, including:

  • Support requests and communications you send to our team
  • Feedback, survey responses, or feature requests you share with us
  • Information entered when setting up or editing Automation Workflows (such as keyword triggers or custom response templates)

Tracking Technologies and Cookies

We use cookies and similar technologies to track activity on our Service and retain certain settings. These may include:

  • Essential Cookies — Required for core functionality and secure login.
  • Functionality Cookies — Store your preferences to personalize your experience.
  • Analytics Cookies — Help us understand how users interact with the Service to improve performance.
  • Session Cookies — Temporary cookies that expire when you close your browser, used to maintain your login session.
  • Persistent Cookies — Remain on your device for a set period and are used to remember your preferences across sessions.

You may configure your browser to reject cookies; however, some features of the Service may not function correctly as a result. To opt out of analytics tracking, you may adjust your cookie preferences through your browser settings or through any cookie consent tool provided on our website.

3. How We Use Your Data

The Company uses your Personal Data for the following purposes:

  • Marketing communications — With your consent, to send you news, product updates, tips, and promotional materials related to Almoza. You may opt out of such communications at any time by clicking the unsubscribe link in any email or contacting us directly.
  • Fraud prevention and security — To detect, investigate, and prevent unauthorized access, fraudulent activity, or violations of our Terms of Service.
  • Legal and regulatory compliance — To meet our obligations under applicable laws, regulations, and legal processes.

We do not sell, rent, or lease your personal data or your customers' interaction data to third parties for advertising or commercial purposes. Data may be shared with Service Providers solely to support platform infrastructure or service analytics, under strict confidentiality agreements.

4. Sharing of Your Personal Data

We may disclose your information under the following circumstances:

  • With Service Providers — Third-party vendors engaged for infrastructure, analytics, customer support tooling, or operational support, bound by confidentiality obligations and permitted to use your data only for the specific purpose of providing services to us.
  • With Affiliates — Entities under common ownership or control with Almoza, subject to the same privacy standards outlined here.
  • For Legal Compliance — When required by law or in response to valid requests from public authorities (e.g., a court order or government agency). We review all such requests carefully before disclosing any information.
  • For Business Transfers — In connection with a merger, sale of assets, financing, or acquisition of all or a portion of our business by another company.
  • With Your Consent — For any other purpose where you have explicitly provided consent.
  • To Protect Rights — When we believe disclosure is necessary to protect the rights, safety, or property of Almoza Technologies, our users, or the public.

We do not share your personal data with Meta or any third party for advertising targeting purposes. Any data exchanged with Meta is limited to what is technically required to operate the authorized API integrations you have enabled.

5. Retention of Your Personal Data

We retain your Personal Data only for as long as is necessary to fulfill the purposes described in this Privacy Policy, or as required by law. The following retention guidelines apply:

  • Account data is retained for the duration of your active account. Upon account deletion, personal data is removed from active systems within 30 days.
  • Interaction metadata — such as trigger status logs — is retained only as long as required to verify message delivery, typically deleted or anonymized within 30 days.
  • Usage data and analytics are retained for up to 12 months to support platform improvement and troubleshooting.
  • Billing records may be retained for up to 7 years to comply with applicable tax and financial regulations.
  • Support correspondence is retained for up to 2 years to help us track recurring issues and improve service quality.

After the applicable retention period, data is securely deleted or anonymized so that it can no longer be linked to an individual.

6. Transfer of Your Personal Data

Your information, including Personal Data, may be processed at locations outside your state, province, or country where data protection laws may differ from those in your jurisdiction. By using the Service and consenting to this Privacy Policy, you agree to such transfers.

We will take all reasonably necessary steps to ensure your data is handled securely and in accordance with this Privacy Policy. No transfer of your Personal Data will occur unless adequate safeguards and security controls are in place. Where required by applicable law, we will implement appropriate data transfer mechanisms, such as standard contractual clauses or equivalent protections recognized under relevant data protection frameworks.

7. Data Deletion

You have the right to request deletion of your Personal Data at any time. You may exercise this right through either of the following methods:

Option A — Email Request

Send an email to almoza145@gmail.com with the subject line "Data Deletion Request". Please include your registered email address and the name of your business account so we can locate your records accurately. We will process your request and permanently delete all associated personal data and integration metadata from our systems within 7 business days, and send you a confirmation once deletion is complete.

Option B — Revoke Meta Platform Access

You may revoke Almoza's access directly from your Facebook/Meta account settings:

  1. Open your Facebook Profile and go to Settings & Privacy → Settings.
  2. Navigate to Business Integrations.
  3. Locate Almoza in the list of connected applications.
  4. Click Remove to revoke access.

Note: Revoking access will disconnect your Meta accounts from Almoza and will stop all active Automation Workflows associated with those accounts. It does not automatically delete data already collected prior to revocation. To request full data deletion, please also follow Option A above.

Exceptions to Deletion

Please note that we may need to retain certain data even after a deletion request in cases where:

  • Retention is required to comply with a legal obligation (e.g., tax or accounting records)
  • The data is necessary to resolve an ongoing dispute or enforce an agreement
  • Retention is required for legitimate security or fraud prevention purposes

In such cases, we will inform you of the reason and the applicable retention period.

8. Disclosure of Personal Data

Business Transactions

If Almoza Technologies is involved in a merger, acquisition, or asset sale, your Personal Data may be transferred as part of that transaction. We will provide notice before your Personal Data is transferred and becomes subject to a different privacy policy. You will have the opportunity to request deletion of your data prior to the transfer if you do not wish your information to be included.

Law Enforcement

Under certain circumstances, Almoza Technologies may be required to disclose your Personal Data if compelled to do so by law or in response to valid requests by public authorities. Before making any such disclosure, we verify the legal validity of the request and disclose only the minimum data necessary to comply.

Legal Requirements

We may disclose your Personal Data if required to do so by law, or if we reasonably believe such action is necessary to:

We cannot warrant or represent that Personal Data will be protected against loss, misuse, or alteration by third parties such as unauthorized hackers.

If a security breach occurs that materially affects you or your account, we will notify you as promptly as possible and communicate the steps taken in response, in accordance with applicable breach notification laws.

Depending on your location and applicable law, you may have the following rights regarding your Personal Data:

11. Children's Privacy

The Service is not intended for individuals under the age of 13. We do not knowingly collect personally identifiable information from children under 13. Upon confirmation, we will take prompt steps to delete that data from our systems.

If we become aware that we have inadvertently collected data from a child under the age of 13 without verified parental consent, we will delete such information as quickly as reasonably possible.

This includes links to Meta platforms (Facebook, Instagram, WhatsApp), payment processors, and any other external services referenced within the Almoza platform. Your interactions with those services are governed solely by their own terms and privacy policies.

13. Changes to This Privacy Policy

We may revise this Privacy Policy from time to time to reflect changes in legal requirements, technology, or business practices. When material changes are made, we will notify you by:

  • Posting the updated policy on this page and updating the "Last Updated" date at the top
  • Sending a notification to your registered email address
  • Displaying a prominent notice within the Almoza platform prior to the change taking effect

We encourage you to review this page periodically. Continued use of the Service after changes are posted constitutes your acceptance of the updated policy. If you disagree with the revised policy, you may discontinue use of the Service and request deletion of your data as described in Section 7.

14. Governing Law

This Privacy Policy and any disputes arising from or related to it shall be governed by and construed in accordance with the laws of India, specifically the Information Technology Act, 2000 and its associated rules, as amended from time to time. Any disputes shall be subject to the exclusive jurisdiction of the courts located in Surat, Gujarat, India.

We are committed to complying with applicable data protection obligations. If you are located in a jurisdiction with specific data protection laws (including but not limited to the GDPR or similar regional frameworks), we endeavor to uphold equivalent standards of protection for your personal data.
